An Intuitive Inventory Management System

How can we create a simple and efficient way for cleaners to track inventory and for managers to oversee supply distribution?

 🔎Goal: Design a user-friendly inventory system that simplifies supply tracking for cleaners, improves manager oversight, and ensures efficient restocking. 
⚡️Key challenges: 
Creating a simple interface for cleaners with varying tech literacy & ensuring managers had control without unnecessary complexity.

The Problem

The client was a cleaning company that been relying on manual inventory tracking, which led to miscommunication, delays, and supply shortages. The process needed a digital solution that would be quick, easy to use, and reduce errors. To understand the pain points, I conducted user interviews with both cleaners and managers.

What I Learned:

  • Cleaners needed an intuitive, fast way to enter supply requests without complex menus.
  • Managers wanted better visibility into supply usage and an efficient way to edit and approve requests.
  • A lack of historical tracking made it hard for teams to anticipate supply needs.

 

Wireframing & User Flow

I started with low-fidelity wireframes to map out key user interactions:

Cleaners: Submit inventory in just a few taps.
Managers: Review, edit, and approve supply requests efficiently.
Key Design Decision: Instead of manual data entry, I introduced pre-populated supply lists with +/- buttons for quick updates, reducing friction.

 

High-Fidelity Designs & Features

Based on feedback, I refined the interface into a minimal, easy-to-navigate system with:

Simple Inventory Submission – Cleaners tap + or – to adjust supply counts.
Usage Tracking – Visual charts help cleaners see their supply trends.
Notifications & Reminders – Automated reminders for cleaners & real-time updates for managers.
Manager Dashboard – Editable requests, bulk approvals, and alerts for low stock.

 

Challenges & Iteractions

💡 Challenge 1: Some cleaners had little experience with technology.
✔️ Solution: Used large touch-friendly buttons, simple icons, and minimal text for accessibility.
💡 Challenge 2: Managers needed flexibility in supply approvals.
✔️ Solution: Built an editable request system instead of rigid approval-only submissions.

Results & Impact

📊Cleaners submitted inventory 40% faster compared to manual tracking.
📉reduced supply shortages by improving visibility into usage trends.
🎯Managers reported improved efficiency in reviewing and distributing supplies.

Final Thoughts & Next Steps

This project was an exciting opportunity to streamline a traditionally manual process with a simple, effective digital solution. While the system successfully improved efficiency and communication, future iterations could explore deeper analytics for managers to predict supply needs and Multi-location support for companies with multiple teams.
